Step 1: Organize Your Fundraising Sales Team

Your fundraising team is the backbone of your coffee campaign. They’ll be responsible for selling coffee and helping you reach your fundraising goal. Start by organizing your team and assigning specific roles like team leader, sales & marketing coordinators, and your sales volunteers. It’s essential to get everyone involved and motivated to help you attract new supporters and grow your reach.

Step 2: Set Your Fundraising Goal & Identify Your Audience

Understanding what your fundraiser is supporting and how much money you need to raise will set the stage for your success. Here’s how to break it down:

  1. Define your cause: What is your fundraiser supporting?
    • For K-12 schools, it might be new uniforms for the band, equipment for a sports team, or classroom supplies for students.
    • For nonprofits, it could be providing critical resources for those in need, funding community programs, or supporting a cause like environmental protection, medical research, or disaster relief.

      Clearly defining your cause is key to inspiring your supporters. Consider crafting a campaign mission statement that highlights the impact your fundraising efforts will have. Whether you’re supporting education or a charitable cause, a strong, clear mission will rally your community to get involved and contribute to your success.

  2. Set a clear fundraising goal: Set a fundraising goal that’s both realistic and achievable, but don’t forget to have fun along the way! Volunteers should be excited about the cause and energized by the journey. When your team is having fun and feeling motivated, reaching your goal becomes a shared celebration. So, while it’s important to aim high, remember that enjoying the process will make the impact even more rewarding for everyone involved!
  3. Determine how much coffee you need to sell: This will guide your strategy and help you calculate how many people you need on your team.
Example 1: 20 Volunteers – Goal: Raise $10,000

Cause: Local Animal Shelter Needs Supplies & Medical Funding
Goal: Raise $10,000
Fundraising Team: 25 volunteers (5 staff + 20 volunteers)

Sales Breakdown:
  • 12 oz. Bags of Coffee
    • Twenty 12 oz. bags per volunteer x $10 profit per bag = $5,000
  • 4 oz. Tailgate/Travel Bags
    • Twenty-three 4 oz. bags per volunteer x $9 profit per bag = $5,175
Total Raised: $10,175 — Goal Achieved!
Example 2: 50 Volunteers – Goal: Raise $50,000

Cause: High School Band Needs New Uniforms
Goal: Raise $50,000
Fundraising Team: 50 members (10 staff + 40 students/volunteers)

Sales Breakdown:
  • 12 oz. Bags of Coffee
    • Fifty 12 oz. bags per volunteer x $10 profit per bag = $25,000
  • 4 oz. Tailgate/Travel Bags
    • Fifty-six x 4 oz. bags per volunteer x $9 profit per bag = $25,200
Total Raised: $50,200 — Goal Achieved!

Fun Fact: The average Girl Scout sells about 133 boxes of cookies a season. Each year, about 40 girls will sell 1,000 boxes.

Identify Your Audience:  Know who you’re targeting with your campaign. Are you reaching out to parents, alumni, local businesses, or the broader community? Build your list and upload them to your custom digital platform.

Order Cards (Traditional, Optional)

Using a traditional order card is a great tool for reaching your fundraising goals. Volunteers can take orders in the old school way. It’s perfect for orders taken over the phone, or through email or text, or for those non tech savvy volunteers.

Get Social (Tech)

Another exciting way to spread the word and boost your fundraising efforts is through social media! Your platforms are the perfect place to let friends, family, and followers know how they can support your cause by purchasing delicious coffee through your organization’s online store. Don’t forget to encourage your volunteers and parents to share the love too—it’s all about building momentum!

Go Digital (Tech – Laptop & Mobile Friendly)

Get ready to take your fundraising to new heights with your very own Digital Coffee Platform! This powerful tool will boost your digital marketing game, allowing your volunteers to connect with customers like never before. They can easily take orders for in-person delivery or even have donations sent directly to your organization—how cool is that?

But that’s just the beginning! Volunteers can send personalized emails with their unique online store link, post on social media to grow their customer base, and share a QR code that directs people straight to their store.
